Ilford Carpet Cleaning Terms and Conditions of Service
These Terms and Conditions set out the basis on which Ilford Carpet Cleaning provides carpet and related cleaning services to residential and commercial clients. By making a booking, accepting a quotation, or allowing work to commence, you agree to be bound by these Terms and Conditions for the services supplied.
1. Definitions
In these Terms and Conditions, the following expressions have the meanings set out below:
Client means any individual or business that requests or receives services from Ilford Carpet Cleaning.
Company means Ilford Carpet Cleaning, the provider of the services.
Services means carpet cleaning and any additional cleaning or related services agreed between the Client and the Company.
Premises means the property or location where the Services are to be carried out.
2. Scope of Services
The Company provides professional carpet cleaning and related services within its general service area, which includes Ilford and surrounding districts. Specific coverage may vary and is subject to confirmation at the time of booking.
The exact Services to be provided, including any special treatments, stain removal attempts, or additional cleaning tasks, will be agreed with the Client in advance and recorded in the booking confirmation or quotation.
The Company reserves the right to decline work which, in its reasonable opinion, falls outside its expertise, poses a health or safety risk, is unlawful, or is otherwise unsuitable for the Services offered.
3. Booking Process
Bookings may be requested via the Company’s chosen communication channels as notified on its official materials. All bookings are subject to availability and are only confirmed once explicitly accepted by the Company.
The Client must provide accurate information about the Premises and the required Services at the time of booking, including approximate room sizes, number and type of items to be cleaned, parking availability, and any known stains, damage, or access restrictions.
The Company may request photographs or additional details to provide an accurate quotation. Any quotation is based on the information supplied. If, upon arrival, the work required is materially different from that described at the time of booking, the Company may adjust the price, alter the scope of Services, or refuse to proceed.
Provisional dates and times provided by the Company do not guarantee availability until a booking has been confirmed. The Company reserves the right to reschedule appointments where necessary, for example due to staff availability, equipment failure, extreme weather, or circumstances beyond its reasonable control. In such cases, the Company will use reasonable efforts to notify the Client and agree an alternative appointment.
4. Access to the Premises
The Client is responsible for ensuring that the Company and its personnel have safe and timely access to the Premises at the agreed appointment time, including suitable parking and clear entry routes for equipment.
The Client must ensure that an authorised adult is present to grant access and discuss any specific instructions. Where key collection or key holding has been agreed, this must be arranged in advance and may be subject to additional conditions.
If the Company is unable to gain access to the Premises or commence work due to the Client’s act or omission, including but not limited to the Client not being present, unsafe conditions, or obstructed access, the Company may treat the appointment as a late cancellation and apply the applicable cancellation charges.
5. Client Obligations
The Client must remove small items, fragile objects, and personal belongings from the areas where the Services will be performed, and secure any valuables before the work begins. The Company is not responsible for moving heavy furniture, electrical items, or delicate pieces unless this has been specifically agreed in advance.
The Client must inform the Company of any pre-existing damage to carpets, flooring, upholstery, or fixtures and fittings, as well as any known issues such as loose seams, weak underlay, colour instability, or previous cleaning treatments that may affect the result.
The Client is responsible for supervising pets and children during the service and ensuring that they are kept away from work areas, equipment, and any wet surfaces while the cleaning is ongoing and during drying times.
6. Pricing and Quotations
Prices are generally based on the type and size of the areas or items to be cleaned, the condition of the carpets or surfaces, and the nature of any additional treatments requested. All prices will be communicated to the Client before the commencement of the work.
Unless otherwise stated, prices quoted are exclusive of any additional charges for parking, congestion or access fees that may be payable in relation to the Premises. Such costs may be added to the final invoice where applicable.
Quotations are valid for a limited time period as specified by the Company and may be subject to change if the scope of work is altered or if significant additional work is identified upon arrival.
7. Payments and Invoicing
Payment terms will be specified at the time of booking. The Company may require a deposit to secure an appointment, with the balance payable on completion of the Services, or may require full payment in advance for certain types of work.
Accepted methods of payment will be specified by the Company and may include card payments, bank transfers, or other recognised methods. Cash may be accepted only where this has been expressly agreed by the Company.
The Client is responsible for ensuring that payment is made in full and on time. Where payment is not received as agreed, the Company reserves the right to apply reasonable late payment charges, to withhold further services, and to take appropriate steps to recover outstanding amounts.
Invoices, where issued, will detail the Services supplied and the amounts due. The Client must check invoices promptly and raise any queries without delay.
8. Cancellations and Rescheduling
The Client may cancel or reschedule a booking by giving notice to the Company in accordance with the cancellation policy in force at the time of booking. As a general guideline, cancellations or rescheduling made with at least 48 hours notice will normally be accepted without charge.
Where less than 48 hours notice is given, the Company may charge a cancellation fee to cover lost time, travel costs, and administrative expenses. If the Company arrives at the Premises and is unable to commence work due to the Client, the full service fee or a substantial proportion of it may be charged at the Company’s discretion.
The Company reserves the right to cancel or reschedule an appointment at any time due to operational reasons, staff illness, equipment failure, or other circumstances beyond its control. In such cases, any deposits paid may be applied to a new appointment or, if appropriate, refunded.
9. Quality of Service and Limitations
The Company aims to provide Services with reasonable care and skill, using suitable equipment and cleaning agents appropriate to the task. However, no absolute guarantee can be given that every stain or mark will be removed or that all odours will be fully eliminated.
The effectiveness of carpet cleaning depends on factors such as the type and age of the carpet, the nature of stains, previous treatments, and the time elapsed since contamination. The Company will exercise reasonable judgement in selecting cleaning methods but cannot be held responsible where results are limited by such factors.
The Client accepts that some carpets or fabrics may have inherent weaknesses, discolouration, or prior damage that may be revealed or slightly exacerbated by the cleaning process. The Company will not be liable for such pre-existing conditions or for consequences that arise unavoidably from treating them.
10. Liability and Insurance
The Company carries appropriate insurance for its operations. Subject to applicable law, the Company’s total liability for any loss or damage arising out of or in connection with the Services, whether in contract, tort, or otherwise, shall not exceed the total amount paid or payable by the Client for the specific Service giving rise to the claim.
The Company will not be liable for any indirect or consequential loss, including loss of profits, loss of business, or loss of opportunity, nor for any loss arising from delays or failure to perform its obligations where such delay or failure is due to events beyond its reasonable control.
Nothing in these Terms and Conditions limits or excludes any liability that cannot lawfully be limited or excluded, including liability for death or personal injury caused by negligence or for fraud or fraudulent misrepresentation.
11. Damage and Complaints
Any alleged damage or issue with the Services must be reported to the Company as soon as reasonably practicable and, in any event, within a reasonable period after completion of the work. The Client must give the Company a fair opportunity to inspect the issue and, where appropriate, to carry out remedial work.
The Company may, at its discretion, offer to re-clean affected areas, provide a partial refund, or take other reasonable steps to resolve a justified complaint. The Client’s cooperation is required in providing access and information necessary to assess and address any complaint.
12. Waste Handling and Environmental Regulations
The Company will handle and dispose of waste generated from the Services in accordance with applicable waste and environmental regulations. This includes responsible handling of dirty water, used materials, and any waste arising directly from the cleaning activities.
The Client remains responsible for the disposal of household or commercial waste not generated by the Services, and for complying with any local regulations regarding bins, recycling, or special waste collections.
Where specialist waste disposal is required due to contamination, hazardous substances, or infestations, additional charges may apply and specific arrangements must be agreed in advance. The Company reserves the right to decline work that involves hazardous or regulated waste outside its authorised scope.
13. Health, Safety and Conduct
The Company will take reasonable steps to ensure that its staff follow health and safety procedures while carrying out the Services. The Client must also take reasonable care for the safety of everyone at the Premises, including by keeping walkways clear and informing the Company of any known hazards.
The Company expects its staff and the Client to treat each other with courtesy and respect. The Company may withdraw its personnel from the Premises and treat the appointment as cancelled if staff are subjected to abusive, aggressive, or unsafe behaviour.
14. Use of Equipment and Electricity
The Client agrees to provide access to electricity and water at the Premises where reasonably required to carry out the Services. If this is not available and alternative arrangements are necessary, additional charges may apply.
All equipment used by the Company remains the Company’s property. The Client must not operate or interfere with the equipment without the Company’s permission.
15. Changes to Terms and Conditions
The Company may update or amend these Terms and Conditions from time to time. The version in force at the time of booking will generally apply to that specific Service, unless changes are required by law or mutually agreed between the parties.
16. Governing Law and Jurisdiction
These Terms and Conditions, and any dispute or claim arising out of or in connection with them or with the Services, shall be governed by and construed in accordance with the laws of England and Wales.
The parties agree that the courts of England and Wales shall have exclusive jurisdiction to settle any dispute or claim arising out of or in connection with these Terms and Conditions or the provision of the Services.
17. Severability
If any provision of these Terms and Conditions is found to be invalid, unlawful, or unenforceable by a court or competent authority, that provision shall be deemed deleted to the minimum extent necessary, and the remaining provisions shall continue in full force and effect.
18. Entire Agreement
These Terms and Conditions, together with any written quotation or booking confirmation issued by the Company, constitute the entire agreement between the parties in relation to the Services and supersede any prior discussions, correspondence, or understandings.
